Archiving Custom Field Data

Profiler gives you the ability to store custom data against the client, you may wish to store multiple values against the client for each field, but want to retain the history of previous values of the data for the field, which is where the Archive feature comes in.

In the example below – we have 2 values for the “Attendance” custom field.

We want to retain the most recent entry (AGM 2018), but archive the older one (AGM 2017) – to do this, on the line we wish to archive go to “…” menu and choose “Archive Value”

The popup will appear – you can store a prefix in front of the archive data (ie. if you were keeping yearly data you could put the year this refers to, but will default to archive) when you have made the prefix option you want, click Save Changes

The screen will update and you will see the prefix in front of the old data. The most recent data will be shown first for the field, followed by the archive data.

You can archive multiple values for each field. To remove an archive status (and bring it back to un-archived), do the same process, and remove the text in the Archive Prefix box (so it is empty) and click Save Changes
