Merging Clients

If you have identified clients that have been entered in multiple times into the system, you will want to merge them so you have 1 client record.

When identifying multiple clients, you need to make a record of the client ID numbers you wish to merge together.

It’s common practice to merge the duplicate record(s) into the lower client ID number, however this doesn’t have to be the case.

Once you have your client IDs you wish to merge go to Utilities > Database Management Tools > Merge Clients

You will be asked to enter the Client IDs – the client you wish to merge INTO will be the “To Client ID” and the merge details from is “From Client ID” field. After you have these two values entered, click Preview Clients

The following screen will appear showing you the details of the two client records. The top part shows the details “FROM” client, then the details about the client you are merging the details into. This just ensures you have the correct client IDs.

The bottom part of the screen allows you to make some changes to the merged record before saving it. It’s split into columns, showing the details from the 2 client IDs, and then fields so you can adjust what will be saved.

Sometimes this is helpful when there is multiple phone numbers or email addresses that need to be merged into different fields on the final record

Adjust the fields as required and click Save Changes. The original “FROM” record will then be merged into the “TO” client, with the details you have edited saved. All payments and history will be transferred to the “TO” client, and the old client ID will be removed.

An interaction note will also automatically be made informing that the merge happened with the client IDs involved.
