Automatic Processing of Regular Payments (Overnight)

This document outlines setting up a client site to have the automatic due regular payments to run daily – unattended. Some sites prefer to use the Regular > Credit Card payments option, however, this process can be set to run in an automated session at around 4am daily.

Instructions to Enable

  • Go to Setup > Regular Payments > Batch and General Setup
  • In the automation section the following options are needed
  • Enable Daily Automation – you need to tick this option to enable the process
  • Only Regular Giving Due Today – you can enable this if you want Profiler to only deduct regular giving that is due TODAY (the day it runs), unticked, will try any regular payments that are due today and into the past (that have not been processed)

If the 2nd option is ticked, you just need to ensure/monitor the overdue processes in Regular > Overdue Management to chase up any declined/missed payments.

You can also enter an email to send the completed batch information to once its completed every night, when these options are entered, click Save Changes

This will apply from the next day, at 4am.

Manual Process of 1 Specific Declined/Missed

If a client misses or declines a regular payment, you can go an update the details via Client > Regular > and the automatic payment details.

You can then update the details, and choose the “Pay Now” option, which will immediately attempt the payment and roll forward the next due date (if it was successful), and will then be picked up by the next time the automation system is run on the appropriate due date for the regular payment.

Review the Nightly Report

You can use Regular > Credit Cards > Report of Previous Batch to review the payments made in the automation overnight daily. It will also be emailed to the email addresses specified in the setup as well.

You will then see the results which you can review and follow up if needed.

Often best practice is to enable the Daily Automation to only take the current day payments, thereby allowing you to manually follow up clients who have declined / lapsed using the Overdue Management tools.
