Sending a template to a First Time Payment/Gift

You can define a template to be automatically sent to a client on their first time ever payment, this could be just a basic template or include details of their payment, as all the merge fields for both the client and payment are included as discussed here

To set up a template for sending, go to Setup > General Setup and Day End, Payment and Receipts and in this section scroll to First Time Payment Automation

You have the ability to send a different email to 2 different groups of people. Most sites will only set up one template and criteria, however, if you wish to send a specific template to a specific source code first payment (ie. Subscription/Membership) and a different one to Tax Deductible Gifts, you can.

This will only send the template on the first ever payment for a client and if it meets that criteria as well. If the client has made a payment previously, it will be ignored.

In the Template field select the Email Template you wish to send. These can be both the normal Profiler Email Templates or External Imported Templates.

You can then select the On Payment To field which allows to send the selected template when it matches the specific payment type, which are:

  • All Payments
  • All Tax Deductible Payments – this is any payment that is a tax deductible item.
  • All Non Tax Deductible Payments – this is any payment that is a non-tax deductible item.
  • All “Gift” defined source codes – this is any source code in Setup > Payments > Source Codes that has been defined as a “Gift”
  • Specific Source Code(s)

After setting the template and criteria, scroll to the bottom of the page, and click Save Changes and this change will apply immediately to all payments that are then received.

To remove the rule from sending, simply remove the template from the rule, and click Save Changes
