Functions with Multiple Dates (and times)

If you have a function that has multiple dates, or runs over a period, you maybe want to record the date the client attended the function, however, the actual date of the function is irrelevant, you can enable floating dates, then the date the client attended will be stored, but the function itself does not have one specific date.

Floating Dates

From Setup > Function & Events > Function Setup and Management you will see a list of your defined functions, and if they are active or inactive.

Any functions with Floating dates will be showing the text Floating in the function date field.

To enable a function to have floating dates, you can either Add New Function or choose the “…” for an existing function and choose Edit Function

In the Function setup, you need to enable Runs Multiple Dates (Floating) option and click Save Changes. This now has set the function as no specific date, and when adding a client to the function, it will ask for the date.

You also have the option when enabling Floating Dates to enable Start and End times for the function, so when clients are attached to the function, an optional start and end time is displayed for selection.

To add clients to a function go to Clients > Function and click Add Client to Function. When selecting the Function to Attend and the Floating Dates are enabled you will see

  • Added to Function Date (Floating) – this is the date the client is going to the function, as the function itself has no date specifically.
  • If you have enabled start and end times, you will see those fields displayed as Start Time and End Time.

Fill in the appropriate fields and click Save Changes
