Renewal Reminder Automation

If using the Subscription / Membership Centre you can send out automatic email reminders for when a client has a subscription/membership that is up to becoming overdue, is due, or has lapsed.

You can set this functionality up in Regular > Subscription Centre and in the Subscription Centre Group Options > Renewal Reminders (Automation)

Your Subscription Centre maybe renamed Membership Centre depending on your Profiler setup.

Upon loading the Automation Screen, you are presented with 4 identical boxes which allow for the selecting of a template and the conditions you wish to send the template.

For example you might want to send a template 14 days from the subscription being due, then on the day it’s due, and then one 10 days afterwards (if it’s overdue and not yet paid)

To set up a condition to send a template:

  • choose the Template you wish to send from the Send Template dropdown. The templates can have all the standard email merge fields including those about the Regular Giving/Membership as discussed here
  • In the when days field, put in the number of days before or after the subscription is due that this email is going to be sent.
  • In the Due/Overdue select if this email is going to be sent before the subscription is due (until due) or after it’s due (overdue)
  • When finished, click Save Changes.

The process will run every morning around 3am for each line that has a template, day count, and day type (due/overdue) set. This will be sent like a normal email and be recorded in the client Mail Sent tab.

If you wish to cancel a reminder, simply select no template for the section you want to remove and click Save Changes.
